General terms and conditions for package trips – Studentresor

For package trips booked via Studentresor, these terms apply together with applicable package travel legislation. As the trips are organised by Studentlife Nordics ApS, a Danish company, the Danish Act on Package Tours and Linked Travel Arrangements (lov om pakkerejser og sammensatte rejsearrangementer), implementing the EU Package Travel Directive (EU) 2015/2302, applies. The terms also take into account the nature of the trips, for example student trips with specific transport, accommodation and activity arrangements.
These terms constitute a binding agreement between you as a traveller and Studentlife Nordics ApS (Studentresor).
1. The agreement
The booking becomes binding only once you have received a written confirmation by email. The lead traveller is the person who makes the booking and is responsible for the entire booking. Travellers under 18 must have a guardian's approval. You are responsible for checking that the booking confirmation and travel documents are correct. Studentresor reserves the right to adjust preliminary departure and return times.
2. Price and payment
Prices include taxes and mandatory fees. The registration fee (the first payment) is paid at the time of booking, unless otherwise agreed. The remaining amount is split depending on how far away departure is: • More than 120 days before departure: 40% at booking, 30% 90 days before departure and 30% 30 days before departure. • 61–120 days before departure: 50% at booking and 50% 30 days before departure. • 60 days or less before departure: the full amount at booking. The first payment is a part payment of the total trip price.
3. Cancellation
You may cancel the trip before departure. The cancellation must be made in writing by the lead traveller. For cancellations for reasons other than those that under mandatory law entitle you to terminate free of charge, the following standard cancellation fees apply: • 60 days or more before departure: 50% of the total trip price. • 59 days or less before departure: 100% of the total trip price. Amounts already paid are set off against the cancellation fee. If you have paid more than the applicable cancellation fee, the difference is refunded. If you have paid less, you remain liable to pay the remaining part of the cancellation fee. Any registration fee (booking fee) is non-refundable. On request, we will provide a justification of the amount of the cancellation fee. In the event of unavoidable and extraordinary circumstances at the destination or its immediate vicinity that significantly affect the package trip or transport to the destination, you have the right to terminate the agreement without a cancellation fee and receive a full refund in accordance with applicable law.
4. Transfer of booking
You may transfer the booking to another person who fulfils all the conditions of the trip, provided that we receive written notice within reasonable time before departure. Notice given no later than seven days before departure is always considered given within reasonable time. The original and the new traveller are jointly and severally liable for any remaining payment and for the actual costs arising from the transfer. The costs must not be unreasonable or exceed our actual costs for the transfer. We will provide documentation of the costs on request.
5. Changes and cancellations by the organiser
We may make minor changes to the trip if the right to such changes has been reserved in the agreement, the change is insignificant and you are clearly informed on a durable medium. If, before departure, we need to significantly change any of the main characteristics of the trip, you may, within the stated time limit, choose to accept the change or terminate the agreement without a cancellation fee. If we offer a replacement trip, you may choose to accept it. If the change or the replacement trip results in lower quality or cost, you are entitled to a reasonable price reduction. If the agreement is terminated, all payments are refunded without undue delay and no later than within 14 days. A trip may be cancelled due to too few participants only if the minimum number of participants required for the trip has been stated in the agreement. Information about a cancelled trip is given as required by law: • No later than 20 days before departure for trips lasting more than 6 days. • No later than 7 days before for trips of 2–6 days. • No later than 48 hours before for trips shorter than 2 days.
6. Liability
Studentlife Nordics ApS (Studentresor) is responsible for the performance of the entire package trip in accordance with the agreement. If something goes wrong, we must be given the opportunity to remedy it within reasonable time. If the organiser has to cancel the trip before departure due to unavoidable and extraordinary circumstances, you receive a full refund of the payments made for the trip, but are normally not entitled to additional compensation for the cancellation itself. If problems arise during an ongoing trip, the organiser's obligations under applicable package travel legislation apply, including the obligation to provide reasonable assistance and, where required, to try to arrange alternatives.
7. Complaints
Faults or deficiencies must be reported as soon as possible in view of the circumstances, preferably on site. We must be given a reasonable opportunity to try to remedy the problem, unless this is impossible, disproportionate or the situation requires immediate action. Your rights to price reduction or compensation under applicable law are not affected.
8. The traveller's responsibilities
Travellers must follow instructions from tour leaders and accommodation staff. You are responsible for having a valid passport and visa where required. We strongly recommend that you have valid private travel insurance. Disruptive behaviour, vandalism or breaches of rules may lead to you being removed from the trip without a refund.
9. Assistance during the trip
Studentresor provides assistance in case of problems during the trip – for example illness, lost documents or other urgent situations. Our on-call team can be contacted when needed.
10. Disputes
We always try to resolve disputes directly between the parties first. If we cannot reach an agreement, you as a traveller can turn to Pakkerejse-Ankenævnet (the Danish travel complaints board) at https://pakkerejseankenaevnet.dk/. You can also use the European Commission's Online Dispute Resolution (ODR) platform at ec.europa.eu/consumers/odr. A dispute may also be tried by a competent court. This provision does not limit the mandatory consumer rights or dispute resolution options available to you under the legislation of your country of residence.
The agreement is governed by Danish law. This choice of law does not limit any mandatory consumer rights you are entitled to under the legislation of your country of residence.
Studentresor is a brand, and the package trips are organised by Studentlife Nordics ApS. We provide travel packages for young people and students to selected European destinations. We cooperate with various groups and organisers – in such collaborations, special terms or deviations may apply according to agreed contracts. By booking with us, you accept these terms.
